Having your customers sign contracts
Electronic contract signing is available directly from the platform. You can integrate your contracts, define the stages at which they must be signed (upon product handover, upon return, etc.), and have them signed online. We have named this section "Contract Signing", but it can also be used for signing any other documents, such as product condition reports for example. Please note: The link sent to your customer is valid for 24 hours. Contracts are available with the PRO and EXPERT plans.
Go to the menu Settings - Contract Signing. Contract configuration. This first tab allows you to choose the service to use. Our platform is compatible with the Adobe Sign service, but you can also use our integrated service ZIQY Sign. To do so, select ZIQY Sign from the list of available services. Click "Save" to confirm your selection.
Then go to the "Contract Templates" tab. To add or edit contracts. First step: general configuration. This is the configuration that will apply by default to all contracts saved on the platform. This includes the logo that will appear on the contracts. To add a logo to the contracts, click the button. Adding a logo is not mandatory.
You can enable auto-completion of the customer's last name. This option allows you to enable auto-completion of the customer's last name in the corresponding field when signing a contract. Add the "customer commitment". This is your contract. This is the text that appears under the section 'The undersigned declares' in order to recall their commitments. Add your Terms and Conditions (T&Cs). To have your T&Cs added to the contract, you can enter them in the WYSIWYG text editor provided, or import a PDF document. If so, the T&Cs will be added to the contract(s) created. Adding T&Cs to the contract is optional.
To integrate your T&Cs "manually": Click in the WYSIWYG editing area and enter the text of your T&Cs. Click "Save" to confirm. To create a new contract template: Click the "+" button.
Name the template you are creating. And activate it so that it can be used. You can again enter the contract text. If you have not filled in the "Customer Commitment" section, or if for the contract you are creating it needs to be different, you must enter the text of your contract here.
Add the T&Cs. If you have not filled in the T&Cs section (or imported your PDF file), or if for the contract you are creating the T&Cs are different, you must fill in this section or import a new PDF file. You can define additional customer information fields. These fields will be displayed at the time of contract signing, and will need to be filled in by the customer. The completed information will be displayed on the contract, in the "CLIENT" section (below the customer's general information). To add a new additional customer information field, click the "+" button. Enter the field label (which will be visible at the time of contract signing). Do not forget to configure it in all languages. Then click "Add".
If you have already created fields of this type in the past, you can reuse them by opening the dropdown list "-- Select an option --". Click "Save" to save your contract template. You have the option to create different contract templates depending on your Rental offers. For more details on this feature, click here.
Which contract and when?
Define the moment at which the customer will need to sign one or more contracts. To do so, go to the "My Contracts" tab. The different contracts available for signing:
- Rental contract: to be signed upon creation of the rental.
- Handover contract: to be signed upon collection of the rented product. For more information on this contract, click here.
- Extension contract: to be signed in the event of an extension of the rental period.
- Replacement contract: to be signed in the event of a replacement of the original product.
- Return contract: to be signed upon return of the rented product.
For more information on sending contracts, click here. For each contract, select from the list the contract template to be signed. The dropdown menu offers you all of the contract templates previously created. Do not forget to "Save" the contract template you wish to associate with each signing stage.
If you do not wish to trigger certain signing stages, select the option "No document to sign" from the list of available contract templates.
Where can I view the generated contracts?
In each rental record, you will find the status of the generated contracts. For contracts that have already been signed, you have the option to download the signed contract.
For contracts not yet signed, you have 3 options:
- Resend the contract by email for signing.
- Download the document in PDF format to print it, for example.
- Redisplay the signing window on your device to have the customer sign on it, or send the contract to the customer to sign by SMS.
I do not use contract signing
If you do not use, or no longer use, online contract signing, you can disable this feature by selecting "I do not use contract signing" in the contract configuration tab. Do not forget, each time you modify your preferences, to click "Save" to confirm your choices.
