The sale option

Since version 1.10.0, you have access to an item sale feature on your Rental platform.

Go to the menu Settings > My activity to enable the feature. By default, the feature is disabled on your site. Don't forget to Save your activation. Two new user rights are associated with this feature and are disabled by default on all profiles other than Admin. You can therefore enable the feature but restrict its use by user profile from the Administration > users > user profiles > Edit > Permissions tab.

Go to the Items menu to process sales. Use the item status "Only available for sale" to sell only items previously dedicated to rental or newly created items. If you wish to both rent the item and be able to sell it, leave it at the "In stock" status. The item listing filter allows you to display only items with this status. Set a newly created or previously rented item to the "Only available for sale" status. Go to the item detail page and click on "Change item status".

Select the new status "Only available for sale". Confirm by clicking on "Change status". Configure the item's sale conditions. By default, the sale option is disabled on the item, even if it has the "Only available for sale" status. To enable the sale option on the item, click on the radio button then configure the option.

Select the tax rule to apply to your sale price. Then enter a pre-tax sale price. You have the option to resell second-hand products purchased from private individuals. If this is your case, you can enter the price at which you purchased the item and then choose the type of tax to apply to the sale: standard or margin VAT.

Choosing the type of tax to apply to the sale: margin VAT can be chosen when you have purchased the second-hand item from a private individual. Don't forget to take into account all your parameters when defining your sale price. It is possible to display an explanatory text of your choice in this location, to help your team consider all the elements that factor into the calculation of your sale price. This explanatory text is configurable in the Settings - Items menu. Don't forget to save your configuration.

Margin VAT is available when configuring your second-hand item sale offer. Once the sale option is configured on an item, a new action button "Sell item" is displayed. Click on this button to sell your item. Process the sale of the item through the dedicated sale funnel. Click on CONTINUE.

Select the customer to sell the item to. You have the option to apply discounts and promo codes to the cart, just as with rentals. Finally, collect payment from the customer by sending them a payment link or by recording the payment at the counter. Once their payment is validated, the customer will receive the "order confirmation" email with the information related to their purchase, and if applicable your T&Cs if you have configured them.

Sale information in the item record

Once the sale is completed, you will find in the item:

  • The sale ID
  • The payment status
  • The date and time of the transaction
  • The sale amount
  • The buyer's information
  • Payment information: the transaction ID, its date, its amount, its payment type and payment method, as well as its payment status.
  • A button to download the invoice if needed.
  • A button to refund the sale amount if needed.

The sale invoice

The format is identical to that of a rental except that it is titled "Sale" followed by the sale ID. Sale invoice numbers follow the same incremental sequence as rental invoices. For example: The previous invoice SA2024-12-02848 and the next invoice SA2024-12-02851 can be either rental or sale invoices. The invoice is automatically sent to the customer via the "Payment accepted" email they receive following their purchase.

Refunding a sale

Click on the "Refund" button from the sale block in the item record. Confirm the refund. The item then reverts to the status it had before being sold, the sale status becomes "Refunded" and a new transaction line "Payment refunded" is displayed. A credit note associated with the refund made is available in the transaction line for download. It is also automatically sent by email to the customer after the refund.

The sale option becomes configurable again and the "Sell item" button becomes available again.

Transactions related to the sale

Go to the Rentals

  • Transactions menu to find a line for each sale made. You can differentiate them as sale lines have no rental ID entered. You will also find a line for each sale refund made.

The sale in the transaction export

An ORDER ID column allows you to reconcile your sale IDs with the transaction file.

The sold item's ID is added to the product name in order to further facilitate your accounting reconciliation. In the Catalogue - Items menu, the item status filter "Sold" allows you to display only sold items.

The "Sale option" filter

This filter allows you to display all items with the sale option enabled, i.e. all items that have been sold or are still to be sold.

The impact of the sale feature on your stock

1° An existing item set to "Only available for sale" status is not deducted from the global stock but is deducted from the available stock. 2° If this item with "only available for sale" status is sold, it is deducted from the global stock and therefore disappears from the available stock. 3° If an item with a status other than "Only available for sale" is enabled "For sale", this will have no impact on the product stock. However, if it is sold, it will be deducted from the global stock and will therefore disappear from the available stock.

The sale in the item export

You will find a "PRE-TAX SALE PRICE" column populated for items with a configured sale price.

Your sale revenues are included in the following statistics:

  • Dashboard revenue
  • Revenue on the product listing and product record
  • Revenue on the item listing and item record
