The security deposit
PRO and EXPERT feature By default, security deposit collection is disabled on your site. You have the option to enable it if Stripe or Adyen is your payment gateway or if you subscribe to a contract with the service provider Paytweak. To enable the security deposit, go to Settings - Advanced Settings, SECURITY DEPOSIT block.
Choosing a security deposit provider
You have a choice between two security deposit providers:
- security deposit via ZIQY through Stripe or Adyen depending on your PSP, accessible only if you have chosen Stripe or Adyen as your payment provider (free solution available from the PRO plan onwards).
- security deposit via PAYTWEAK and Ingenico, which requires subscribing to a contract directly with this provider and configuring its connection to your site.
The Paytweak security deposit provider
Only if you select Paytweak, you will need to proceed with configuring the API connection with your Paytweak account. To do this, after selecting the Paytweak option, click on "configure Paytweak".
Important: you must have access to your Paytweak back office in order to retrieve the connection information before starting this configuration.
Paytweak configuration
Account information to be filled in:
- API URL
- Client ID
- Client secret
- Notification templates for your customers (to be pre-configured in your Paytweak account if you do not wish to use the generic notifications of this tool), for each language where applicable.
Security deposit amount configuration
- Enable the security deposit for subscriptions if desired.
- Enter the percentage of the product value to be collected as a security deposit for the rental.
- Define the desired rounding type for the security deposit amount.
- Define a maximum amount per rental: if set, the security deposit amount cannot exceed the entered value.
Configuration example: For a product worth €10,000, a security deposit at 75% of €10,000 equals €7,500 to be authorised on the bank card imprint. With a maximum security deposit amount of €1,000: €1,000 to be authorised on the bank card imprint instead of €7,500.
Security deposit collection configuration
- Sending the bank imprint request to the customer: specify the number of days before the start of the rental from which the customer will be invited to provide a bank card imprint.
- Imprint validity (in days) for Adyen and Paytweak only = the period after which the system will automatically release the customer's bank card imprint if you have neither charged it nor already released it.
We recommend a validity period of 30 days so as not to block funds on your customers' cards for too long.
Warning: not to be confused with the PSP guarantee period, which is not configurable = the period during which you are certain to be able to charge the security deposit amount to the customer's bank card:
- For Paytweak = 7 days
- For Adyen = 28 days, but the guarantee is adjusted according to the customer's card: Mastercard 28 days; VISA 7 days; Amex 7 days; Discover 10 days.
Between the end of the guarantee period and the end of the imprint validity period, you can still attempt to charge the customer's bank card but with risks of:
- Failed charge.
- Increased interchange fees.
- Transaction fees related to card schemes.
- Chargeback by the cardholder.
2bis. Imprint validity (in days) for Stripe only: this field has no effect; after 7 days, regardless of the setting, Stripe releases the security deposit and it can no longer be charged.
-
Number of days of delay after which the security deposit must be collected: you can define automatic collection of the security deposit in the event of non-return of the product X days after the planned return date for the rental.
-
Maximum number of attempts: this is the maximum number of bank imprint charge attempts that will be made in the event of failure.
Warning: on Stripe, set this field to 1 to avoid rejection fees.
- Number of days between each bank imprint charge attempt.
Example journey based on the configuration below: The customer made their bank card imprint on 01/06, you attempt to charge their security deposit on 10/06; if the charge fails, we will try again on 13/06; if it fails again, we will make one final attempt on 16/06.
Product value
As a reminder, the product value is configured on the detailed page of each product, under the "General Information" tab
"Product value" field.
Important: the security deposit will be calculated on the tax-inclusive (VAT included) value of the product.
Configuration by point of sale
Once you have enabled and configured the security deposit in your general settings, you must enable the security deposit on each of your points of sale. To do this, go to Administration > Points of sale > click on the point of sale for which you want to enable the security deposit > Settings tab > click on Edit.
Enabling the security deposit on each point of sale
In order for the security deposit to appear in the rental funnel on the front end and back end as well as in the rental agreement, you must check the "online security deposit" option.
For points of sale that do not have this option checked, even if the security deposit is enabled at the advanced settings level, the security deposit will not be applied to any of the rentals at those points of sale.
The security deposit in the back office rental journey
When you create a rental from the back office, you will find the security deposit amount automatically calculated at the top of the cart page in order to communicate the information to your customer verbally if needed (in addition to the email they will receive, see slide 11).
The security deposit in the front end rental journey
When a customer subscribes to a rental on your site, they will be shown the automatically calculated security deposit amount in the cart (in addition to the email they will receive, see slide 11).
Displaying the security deposit on the rental detail page
You will find all information and actions relating to the security deposit in the header block of the rental record.
The bank authorisation request email
Your customer always receives an email inviting them to provide their bank card imprint. The content of this email can be managed from the Administration - Emails menu, Notifications block > "Bank authorisation required for your rental". Depending on the lead time chosen in point 1 of the security deposit configuration (see slide 5), they will receive the email as soon as the rental is subscribed if it starts on the same day or within a period shorter than the configured lead time. Or on the day when the configured lead time is exceeded.
Example: if you configure the email to be sent 1 day before the start of the rental. If the customer subscribes to the rental on 01/06 for a start between 01/06 and 02/06, they will receive the email immediately after their order confirmation. If the customer subscribes to the rental on 01/06 for a start on 03/06 or later, they will receive the email on 02/06, or 1 day before the start date of their rental.
Managing the bank authorisation request from the rental record
You can at any time (re)send your customer the email or SMS (sending cost €0.10) for the bank authorisation request by clicking on "Take an imprint". You can also give them access to the bank authorisation page on your terminal, tablet or smartphone, by clicking on the link shown in the pop-in that opens.
The bank authorisation page
Your customer will need to enter their bank details so that we can proceed with the imprint of the security deposit amount on their card.
Updating the security deposit
Once the bank card imprint has been completed by your customer, you will see a green confirmation that the authorisation has been completed, along with the date and time of the transaction.
Security deposit information at the time of product handover
If you use ZIQYSIGN contracts, the product collection contract includes the total security deposit amount, where applicable.
Product handover if the bank card imprint has not been completed
WARNING: In the event that the bank authorisation has still not been completed by your customer on the day of product handover, it is your responsibility to decide whether or not to hand over the product.
Indeed, even if the bank authorisation has not been completed, product handover is not blocked by our system. In addition to the information in the rental record, you will also see an alert in the last step of the handover journey before completing the handover.
Penalties upon product return
Any security deposit collection is based on the penalties that will apply to the rental at the time of product return. Therefore, make sure to properly configure the various penalties to apply in the Settings menu > Advanced Settings > all "Penalties" blocks. At the time of product inspection, you will indicate any damage to the product(s), and the system will automatically apply a penalty amount to the rental. The same applies in the event of a late return.
Security deposit collection
If penalties are applied upon return of the rental, the system will offer you:
- to automatically collect the exact amount of penalties due at the end of
the return.
- Example: the bank card imprint made was for €1,000, the penalties due are €500. Upon automatic collection, the system will charge €500 to the bank card and release the remaining €500.
- or to collect the amount of these penalties or a free amount at a later time.
In all cases, once the collection action on the security deposit has been carried out, the remaining balance on the bank card imprint will be automatically released by the system. You will never be able to charge any further amount from your customer's security deposit.
Collecting the security deposit later via the PAY button on the penalties line
A pop-in will open to prompt you to confirm the collection of the penalties. You will be able to collect, in the same way as automatically, the exact amount of the penalties.
Collecting the security deposit later via the CHARGE button in the security deposit block
When clicking on the CHARGE button, a pop-in will offer you the available options.
Options when collecting a free amount later from the "security deposit" block
By choosing this last collection option, you will then have the ability to charge:
- either the penalty amount,
- or a free amount, different from the penalty amount.
This may be useful for making a commercial gesture towards your customer, for example.
Warning: you will in no case be able to charge an amount greater than the total security deposit amount.
Automatic security deposit collection in the event of a late return
As indicated in slide 5 / point 3, you were able to configure the number of days of delay after which the security deposit must be collected. Automatic collection of the full security deposit amount in the event of non-return of the product X days after the planned return date in the rental will be initiated by the system. For this, you will also need to activate the scheduled task "automatic security deposit collection".
Example: the rental ends on 05/04, you have configured an automatic collection at D+2 delay. On 07/04, the system will automatically collect the full security deposit amount.
Once collected, the penalty line changes to "paid" status and the rental moves from "in dispute" status to "completed" status.
Invoice for the collected security deposit
Once collected, your customer will receive the invoice for the collected security deposit by email, and you can also download it from the rental record at any time.
Refunding the collected security deposit
You can at any time refund the collected security deposit by clicking on the "refund the penalty" button. The refund will be processed automatically to the customer's bank card.
Credit note for the collected and then refunded security deposit
The security deposit is shown as refunded with the date and time of the refund. The refund credit note has been automatically sent by email to your customer. You can download it at any time from the rental record.
By clicking on "History", you will find all actions carried out relating to the security deposit.
