On your Rental platform, you can configure certain settings related to items. Go to the Settings menu

  • Items

In the "Mandatory serial number" block, enable this option if you wish to make it mandatory to enter a serial number when handing over the rented product to the customer. This will allow you to track the lifecycle of your items.

If you do not have a way to identify all your physical items by a serial number present on them, and/or if you do not wish to track the lifecycle of all your items, do not enable this option. Please note that it will no longer be possible to enter a specific serial number once the product handover is complete.

If you do not enter any serial number during the handover or delivery of the product to your customer, the system will automatically generate a random serial number regardless and associate it with the rental.

You can decide whether or not to display this auto-generated serial number in the rental record here:

In the "Serial number uniqueness" block, define whether you want your serial numbers to be unique across the platform as a whole, or per point of sale.

  • Across the entire platform: serial numbers created must be unique across the entire platform. If you select this option, you can also allow product returns at a different store from the store where the rental originated.
  • Per point of sale: serial numbers created must be unique per point of sale; the same serial number can therefore be created in multiple points of sale.

In the "Stock synchronisation" block, you can choose to restrict the creation of an item based on available stock, or not:

  • If you restrict item creation based on available stock, creating an item will only be possible if the stock of the relevant product is sufficient.
  • If you do not restrict item creation based on available stock, creating an item will be possible even if the product is not in stock. Please note that this may create inventory and statistics inconsistencies.

This option can only be configured if you have made serial numbers mandatory on your platform. In cases where serial numbers are not mandatory on your platform, by default item creation is not restricted to available stock.

To simplify your stock management, you can enable stock incrementation when new items are added.

To enable this feature, you must:

  • Have configured the serial number as mandatory
  • Have disabled "Restrict creation based on available stock"

With this feature, the creation of any new item (regardless of how it is created) will automatically increment the stock of the corresponding product in the corresponding point of sale.

In the "Format" block, you can define a format for your serial numbers. If this format is not followed, the serial number will not be validated and you will be prompted to comply with the format in order to proceed with the product handover.

Different serial number validation rules are available:

  • Alphabetic characters only – example: ABCDEFGHIJKL
  • Alphanumeric – example: ABC123DEF456
  • Alphanumeric that may contain hyphens and underscores – example: ABC-123_DEF
  • Numeric characters only – example: 0123456789
  • Custom rule using a regular expression – You will need to give a name to your regular expression, and provide an example of the expected format using a regular expression.

There is no exhaustive list of regular expressions; these are constructed based on what you wish to validate. Here are some examples you can use in this menu or when configuring custom fields:

==> Regular expression to validate a French 5-digit postcode (with "2A" or "2B" for Corsica):

/^(2[AB]|[0-9]{2})[0-9]{3}$/

==> Regular expression to validate a French licence plate:

/^(?:[A-Z]{2}-[0-9]{3}-[A-Z]{2}|[0-9]{3}-[A-Z]{3}-[0-9]{2})$/

==> Regular expression to validate an email address:

/^[\w\.-]+@[a-zA-Z0-9_-]+(\.[a-zA-Z0-9_-]+)*\.[a-zA-Z]{2,}$/

In the "Second-hand sale price calculation" block, define the discount percentage and the cap on second-hand prices, given that the second-hand sale price of an item is calculated based on the residual value plus XX% of the product's sale price (capped at YY% of the product's sale price).

In the "Sale-related information" block, you can configure a text in the WYSIWYG that will be displayed on the detailed page of each item, in the "Sale" block. This informational text, to which you can add an explanatory document (PDF or image), will provide explanations to users to help them define a sale offer for an item.

In the "Item status" block, you can enable a new status for your items. This status allows you to anticipate the creation of your items before they are actually available for rental.

This new item status:

  • Can only be selected manually from an item's page
  • Can be used in item imports (to do so, enter the status in_supply)
  • Is decremented from the available rental stock of the corresponding product (in the same way as the "Under repair", "Broken", "Lost" and "End of life" statuses)

Don't forget to click the "Save" button when you are done.
