Advanced Settings
Additional settings are available for your rental activity. These include refund conditions, deposit, penalties, insurance, etc.

Refunds
You can refund date-to-date rentals that have been cancelled or not picked up by customers. You can process this refund manually on a case-by-case basis, or automatically. For the platform to automatically process a refund in the event of a date-to-date rental cancellation, select the "Automatic" option. You can also add refund rules by clicking "add a rule".
Define refund rules for cancelled date-to-date rentals. Define refund conditions based on the date the rental was due to start and the date it was cancelled. Based on these two data points, you can decide not to refund a certain number of rental days. In our example, the rules we have created are as follows:
- Up to 2 days before the start of the rental, the customer can cancel their rental and receive a full refund.
- But from 1 day before the start of the rental, and up to 1 day after the start of the rental, if the customer cancels the rental, a penalty equivalent to 1 day's rental will be deducted from the refund amount.
You can create multiple rules if necessary. To create an additional rule, click "Add a rule".
Automatic cancellation of a rental
It may happen that a customer does not pick up the rented product. You then have the option to cancel the rental manually on the platform. But you can also configure automatic cancellation of uncollected rentals. To do this, simply define how many days after the start of the (uncollected) rental it should be cancelled, and enter this number in the field available in the left block. And select "YES" in the right block: "Automatic cancellation".
Cancellation reason: click "+" to configure it. Define the cancellation reasons to be selected from a drop-down list by the customer or the store cancelling a rental. The reason provided by the customer will be sent by email to the point of sale; the reason provided by the point of sale will be sent by email to the customer.
Enter the cancellation label and where this option will be available.
Deposit
You have the option to request a deposit when renting your products. To do so, select "Request a deposit". The deposit is calculated as a percentage of the product value. The deposit is a PRO and EXPERT feature. If you do not wish to take a deposit when renting your products, select the "No deposit" option.
Penalties
PRO and EXPERT feature
A rental is created with a start date and an end date. At the end of the rental, the rented item must be returned. If the item is not returned by the scheduled date, you have the option to apply (financial) penalties. Simply set the number of days after which you consider the return to be late, as well as the starting point for penalties. The penalty amount will be calculated based on the daily rental cost. You can define different deadlines for the late return of a date-to-date rental item, or a subscription rental item.
Configuration example: With the configuration set up below, here is what a customer will pay in penalties for renting a product if they return it 4 days after the scheduled return date. For a date-to-date rental, the return will be considered late at D+1, and penalties are counted from D+1.
Penalties and damage to a rented item
Upon return of the rented item, you may find that it has been damaged by the customer. Our platform allows you to distinguish between two types of damage: minor damage, which is repairable, and major damage, which is not repairable. For both types of damage, you have the option to apply penalties, as well as to offer your customers the option to take out insurance.
Penalties for minor, repairable damage. Penalties are calculated as a percentage of the product value. Enter a percentage of the product value for a rental without insurance subscription. And a penalty percentage for a damaged item with insurance subscription. Then select the insurance products.
Penalties for major, non-repairable damage. Enter, as before, a percentage of the product value for a rental without insurance. Then for a rental with insurance subscription.
To select insurance products, use the search field. You can enter the first few letters of the insurance product name. Then select it by checking the box at the end of the row on the right. Select all insurance products. Then select it by checking the box at the end of the row on the right. You can select all your insurance products.
Click "Finish" to confirm the selection.
Penalties and loss of rental items
On the same principle as damage, you can apply penalties to a rental in the event of loss of the rented item, which will therefore not be returned. As with the damage sections, enter the applicable rates with and without insurance, and select the insurance products.
Customer blocking
You can choose to:
- Block customers in dispute: this configuration allows you to prevent any customer who already has a rental in dispute status from booking a new rental.
- Limit the number of active rentals possible on the same customer account: to do this, define the number of your choice.
Pre-rental lead time ¡ Updated 22/09/2025
You can impose a lead time on your customers before booking a product. This affects the date from which the customer can book their rental. If you enter 5 in the field provided for the pre-rental lead time, the calendar that allows customers to choose their rental dates will not offer the first 5 upcoming days.
- You can define different lead times depending on whether the rental is subscribed on the front-end or in the back-office.
- You can define different lead times depending on whether the stock of the product your customer wishes to rent comes from the point of sale or the warehouse.
Good to know: this lead time also applies when creating a rental from the back-office tunnel. However, no technical block prevents you from proceeding with the order if the conditions are not met. A specific profile right ("Ignore availability alerts in the rental tunnel") allows you, if disabled, to prevent salespeople from bypassing this lead time.
Maximum lead time to start a rental
You can prevent your customers from booking a rental too far in advance on the front-end. If, as shown below, you enter 365 in the field provided for the maximum lead time before rental start, the calendar that allows customers to choose their rental dates will not offer start dates more than 365 days from today.
Availability of returned items
When an item is returned, it can immediately be available for a new rental, but you can also schedule a delay (in days) before it becomes available. This is to allow you to carry out maintenance, cleaning, inspection or other operations. Enter the number of days during which the item will not be available for a new rental. You can define a different delay depending on whether the stock of the product your customer wishes to rent comes from the point of sale or the warehouse.
Configuration examples if your rental ends on August 5th:
- 0 days = your items will be directly returned to "In stock" without going through a transit phase.
- 1 day = your items will be "In transit" until August 7th at 7am, when they will return to "In stock" following the execution of the scheduled task "Return to stock of completed rental items".
- 2 days = your items will be "In transit" until August 8th at 7am.
- etc...
Product unavailability before booking
Define a period during which stock is blocked and made unavailable prior to a booking. You can define a different delay depending on whether the stock of the product your customer wishes to rent comes from the point of sale or the warehouse. If your stock is booked from August 5th and you have indicated a pre-booking unavailability period of 2 days, the stock will not be available on August 3rd and 4th; rentals can be booked up to August 2nd at the latest.
Activate the "end of season date" if useful
If the option is activated, the rental end date can automatically be set to this date, regardless of the start date chosen by the customer. Ideal for limited-duration periods such as summer seasons or one-off events. This feature saves you time when selecting the rental end date in the back-office tunnel. Using the date picker, configure the end date of your season for this year. Don't forget to deactivate the option when the season is over, and to reactivate it by modifying the date once your season starts again next year.
When extending a rental, the "End of season date" checkbox is also available. If you have activated the end of season date, here is how it appears in the back-office tunnel. When choosing rental dates, you simply need to check "End the rental at the end of the season..." to automatically apply this date as the end date.
