Using customer qualification forms on the front-end when adding products to the cart
Customer qualification
Customer qualification allows you to ask your customers to complete forms in order to collect precise and/or one-time information about the person who will benefit from the rental.
Customer qualification forms can be assigned in two ways:
- Either at the sub-customer level: find more details in this tutorial.
- Or at the category level (front-end feature only). To do this, make sure your products do not belong to multiple categories with an active customer qualification form, as this would create a conflict between forms.
To set up customer qualification by category, go to the page of the category you want to configure.
Click on the "Documents" tab.
The "Customer qualification" block is displayed at the top of the page.
Click on the "create a form" link to create your first customer qualification form.
If you have already created a form, you can select it from the list.
"General" tab
- Form name: required, it allows you to identify your form in the dropdown list of forms. It is not visible on the front-end.
- Label: optional, this label will be displayed as the form title on the front-end.
- Description: optional, this description will be displayed below the form title on the front-end.
Once this information has been filled in, click the "Save" button.
Note: if your site is multilingual, remember to configure your forms in all languages.
Then click on the "Questionnaire" tab.
To create your first form entry, click "+ Add a question".
For each question, you will need to fill in a label and a description.
Then select the field type for that question.
This allows you to define a response format:
- Text: for a standard text field.
- Numeric: for a field in which the customer can only enter numeric characters.
- Dropdown list: if you want your customers to choose their answer from a list you have defined in advance.
- Radio button: define possible answers and let the customer choose using a radio button.
All information collected as part of the form is saved in the database and associated with the account of the customer who filled in the form.
If the customer makes a second rental in the future and the form is submitted to them again, it will be pre-filled with the previously saved answers. If your customer is renting for a third party, the third party's information will also be retained.
Fields relating to rental for a third party
If you wish to allow rental for a third party, you will need to collect personalised information about said third parties, including:
- Their last name
- Their first name
- Their date of birth
When creating a "Last name" question, remember to select the "Customer last name" field type in order to correctly associate the information in the database. This will allow the system to identify the third party, display their name, and potentially calculate rates based on their age (see how to create specific prices in your product offer).
Similarly, when creating a "First name" and "Date of birth" question, do not forget to select the "Customer first name" and "Customer date of birth" field types.
You can enter a custom code for your question.
This code is used in the Rental API to retrieve a question.
Once your question is configured, click the black "Save" button.
Your question is created, and you can move on to the next one.
You can add more questions if needed.
When all your questions are created, click the "Save" button.
Your form is then saved. You can close the pop-in by clicking the "Close" button.
To apply a form to your category, select it from the dropdown list.
If you want to use a qualification form, check "Enable customer qualification".
If you wish to allow rental for a third party, check the corresponding box.
"Allow rental for a third party" allows the customer to answer the form questions on behalf of the person who will actually use the rented product (their child, for example).
If this option is enabled and your customer adds multiple quantities of the same product to the cart, they will need to fill in as many forms as there are units of the product in the cart.
Example: if your customer adds 4 bikes to their cart and rental for a third party is allowed, they will need to fill in 4 different forms.
Once the form is selected, click "Save".
Editing an existing form
Click the pencil icon to the right of the dropdown list after selecting it.
How the form appears on the front-end
Your customer first selects their offer on the product page of their choice, then clicks the "Rent" button.
A pop-in appears inviting them to complete the form.
If they wish to rent for themselves, they can fill in the form directly and then click "Confirm".
If your customer is renting for a third party
They check the "Rent for a third party" option and fill in the information about the person who will use the product.
If they have previously rented for a third party, that person will be suggested in the dropdown list (in addition to "New person"), giving them the choice to reuse data from a previous third party or create a new one.
Once the form is completed, they will click "Confirm".
In the cart summary, they can edit the information entered by clicking "Edit" if necessary.
Finding customer qualification information on the rental page
Below each eligible product, a "Customer qualification" button allows you to view the answers provided.
When clicked, they are displayed in a pop-in.
